Terms & conditions

Table registration & seller guidelines

• Requirement: anyone intending to sell or trade must book a table, regardless of how many models they bring.
• Sponsors: any individual or business conducting regular commercial sales (own website or third-party channels), or taking pre-orders via social media, automatically qualifies as a Sponsor.
• Items allowed: any scale model, any scale or make, plus related scale-modelling items.
• Seller representation: sellers warrant to BMCA that they hold all permissions needed to sell the items on display.
• Setup time: all sellers must be at the venue by 8:30 AM.
• Strict policy: arrivals after 10:00 AM will be denied entry, and the table fee forfeited.
• Perks: BMCA hosts breakfast for registered table-holders and helpers, 8:30–9:30 AM.

Table fees & deadlines

Registration: connect with BMCA via Facebook or Instagram with your full name and contact number.

Helpers & shared tables

• Single tables: one registered helper allowed, must enter with the seller by 8:30 AM (otherwise standard entry fee applies).
• Shared tables: no additional helpers permitted.

General admission (visitors)

• Entry fee: ₹300, non-refundable.
• Early bird: ₹250 for registrations between 13th–20th September.
• Refund policy: all table and entry fees are strictly non-refundable.

Commercial promotions & marketing (sponsors only)

• Any promotion of external businesses requires prior written approval.
• Sponsor / promotion fee starts at ₹7,500, due by 23rd August 2026.
• Promoting without paying the fee results in immediate expulsion, with no refund of fees already paid.

Camera & photography policy

• DSLR, mirrorless, or other professional non-phone cameras require a ₹1,500 photography fee.
• BMCA's in-house photographers will document the event; ask the photography team for access to official shots.

Raffles & auctions

• Restricted to physical attendees — no online raffles or auctions.
• Must run between 10:00 AM and 4:00 PM.

Code of conduct & dispute resolution

• All transactions must be civil and responsible; unfair practices or disruptive behaviour mean immediate expulsion.
• Disputes are settled at the final, binding discretion of BMCA's Managing Committee.

Prohibited items & venue restrictions

• Personal bags/backpacks are prohibited (sellers may bring empty totes for buyers' purchases).
• No outside food or drink, alcoholic or otherwise — drinking water is provided.
• BMCA does not manage parking and assumes no liability for vehicle damage, theft, or loss.

Disclaimers & limitation of liability

• BMCA acts solely as an event facilitator and does not evaluate or guarantee any item's quality, authenticity, or value; the buyer is responsible for inspection, and BMCA does not mediate transaction disputes.
• Every participant is solely responsible for their own belongings and models.
• BMCA is not liable for cancellations, delays, or interruptions caused by force majeure events (weather, strikes, epidemics, government orders, etc.).

BMCA reserves the right to amend these terms at any time without prior notice. Rights of admission reserved.
